Privacy Policy
Journal Entry Pro · Effective October 10, 2026
JEP Innvovations LLC (“we”, “us”) provides Journal Entry Pro to accounting firms. This policy explains what we collect, how we use and protect it, who we share it with, and your choices. It covers the Journal Entry Pro web application and its connections to accounting systems such as QuickBooks Online.
1. What we collect
- Account information: the name, work email and firm of each user, and sign-in records.
- Customer Data: accounting information your firm enters, uploads or connects for its clients — for example charts of accounts, trial balances, journal entries, mapping tables, and the files you upload.
- Connected-service data:data we retrieve from an accounting system you connect, limited to what you authorize. For QuickBooks Online this is the company's chart of accounts and trial balance figures. We also store the connection itself: the company ID and an authorization token.
- Technical data: basic logs needed to run and secure the service, such as request times and error details.
2. How we use it
We use data only to provide, secure, support and improve the service for your firm: displaying and processing your data, running the imports and reports you ask for, keeping records of integration activity, and responding to your requests. We do not sell your data, and we do not use QuickBooks or other connected-system data for advertising.
3. QuickBooks Online
When you choose Connect to QuickBooks, you are sent to Intuit to sign in and approve access to a company. Journal Entry Pro receives an authorization token, not your Intuit password. We request the accounting permission and use it to read the chart of accounts and trial balance, and — only when a user chooses to post, update or delete an entry — to create, update or delete the journal entries that user selected in that company.
- The token is stored encrypted in a secured vault and is used only to act for your firm.
- You can end the connection at any time with Disconnect in Journal Entry Pro, which also revokes the token with Intuit, or from your Intuit account's connected-apps settings.
- Data retrieved from QuickBooks is handled like all Customer Data under this policy.
4. AI processing
Some features use an artificial-intelligence service (currently Anthropic) to read uploaded files, including scanned documents, and to draft import logic. For these features the relevant file contents, such as sample rows and column headings or the pages being read, are sent to that provider to produce a result. We do not authorize providers to use this content to train their models. Results are shown to you for review before anything is saved.
5. Who we share data with
We share data only with service providers that help us run Journal Entry Pro, under their own confidentiality and security terms:
- Database and authentication hosting (Supabase).
- Application hosting (Vercel).
- AI processing (Anthropic), for the features described above.
- The accounting systems you choose to connect (such as Intuit QuickBooks Online and Restaurant365), to the extent you direct us to read from or send data to them.
We may also disclose data where the law requires it, or to protect the rights and safety of our users and the service.
6. Security
Data is encrypted in transit and stored with providers that encrypt it at rest. Every firm's data is separated: access is restricted to signed-in users of that firm, and the database enforces this boundary itself. Connection tokens are held in an encrypted vault and are never shown back in the interface. No system is perfectly secure, and we cannot guarantee absolute security.
7. Retention and deletion
We keep Customer Data while your firm uses the service. Files uploaded as reference files are cleared automatically as periods are locked. On request, or when your agreement ends, we will delete or return your firm's data within a reasonable time, except where the law requires us to keep it. Disconnecting an accounting system removes its stored authorization token.
8. Your choices and rights
You can ask us to access, correct, export or delete personal information we hold, or to delete your firm's data, by contacting us below. If you are a client of an accounting firm that uses Journal Entry Pro, please contact that firm first, as it controls its clients' data in the service.
9. Children
Journal Entry Pro is for business use and is not directed at children under 16.
10. Changes
We may update this policy and will change the effective date above. For material changes we will notify users in the service or by email.
